How to Deploy Helperbird to an Entire School District

Learn how to use a single subscription key to deploy Helperbird across an entire school district using Google Admin Console or Microsoft Intune. One key covers every student and staff member in your organization.

Overview

Helperbird supports board-wide and district-wide deployment using a single subscription key. One key covers every student and staff member in your organization. You deploy the key through the Google Admin Console or Microsoft Intune, and every device in your selected organizational units gets Helperbird Pro activated automatically.

No individual sign-in or per-student setup is needed. The key is pushed to devices through managed policy, so it works on shared Chromebooks, kiosk devices, and personal devices alike.


How the Subscription Key Works

When you purchase a district license, you receive a single subscription key. This key is added to your managed JSON policy and pushed to devices through your admin console. Every device that receives the policy gets Helperbird Pro activated automatically.

The key is not tied to individual students. It is tied to the organizational unit (OU) or device group you apply it to. This means:

  • Any student who uses a device in that OU gets Pro features.
  • New students are covered automatically when they join the OU.
  • Shared devices (exam Chromebooks, library devices) are covered without any per-user setup.
  • Students do not need to sign in to Helperbird or enter a key.

Deploying with Google Admin Console

Step 1: Open Google Admin

Go to admin.google.com and sign in with your admin account.

Step 2: Navigate to Apps & Extensions

Go to Devices > Chrome > Apps & extensions. Select the Users & browsers tab for user-level deployment, or the Kiosks tab for kiosk devices.

Step 3: Select Your Organizational Unit

Select the top-level OU that covers your entire district, or select individual school OUs where you want Helperbird deployed.

Step 4: Add Helperbird

Click the + button to add a new extension. Search for Helperbird or enter the Chrome extension ID: ahmapmilbkfamljbpgphfndeemhnajme. Set the installation policy to Force install.

Step 5: Add the Subscription Key

In the Policy for extensions field, enter the following JSON:

Replace YOUR-SUBSCRIPTION-KEY-HERE with your district subscription key. Click Save.

That is it. Every Chromebook in that OU will receive Helperbird with Pro features activated.

Deploying with Microsoft Intune

If your district uses Microsoft Edge on Windows or macOS devices, you can deploy Helperbird through Microsoft Intune.

  1. Add the Helperbird Edge extension ID: bkibfggdahioahpokehoiimdmdjefjmd
  2. Set the extension to force-install through Intune policy.
  3. Add the subscription key through managed preferences using the same JSON format.

Applying to Multiple Organizational Units

You can apply the same subscription key to as many organizational units as you need. Common setups include:

One Top-Level OU

Apply the policy at the district level so every school is covered.

Per-School OUs

Apply the policy to individual school OUs if you want to roll out gradually.

Separate Exam OU

Create a dedicated OU for exam Chromebooks with additional settings like the floating button or disabled features.

The same subscription key works across all OUs. You do not need a separate key for each school.

What Happens When a New Student Joins

When a new student is added to a licensed organizational unit, they automatically receive Helperbird Pro on their next device sync. There is no additional setup required. The subscription key is delivered through the managed policy, so new students are covered from day one.

The same applies when a student moves between schools within the district. As long as their new OU has the Helperbird policy, they keep their Pro access.


Monitoring Usage

Your district can monitor Helperbird usage through the Helperbird Admin Dashboard. The dashboard shows:

  • Total users across the district
  • New users and uninstalls over time
  • Most used features
  • Recent user activity by domain

This data helps you track adoption and report on usage to stakeholders.

Controlling Features by Group

Different schools or grade levels may need different Helperbird settings. You can customize which features are available in each OU by adding feature controls to the JSON policy:

This lets you keep the same subscription key across the district while tailoring the feature set for specific groups.
